Basics: who we are and what we do
What exactly does AXR-Systems do?
AXR-Systems automates recurring workflows, introduces AI tools into everyday work and makes sure companies are found on Google and in AI answers. We are a small firm from Berlin and we work for sole traders, trade businesses, law firms, medical practices and mid-sized companies across the German-speaking region.
The difference to a conventional agency: we build the solutions we sell for ourselves as well. Three of our own platforms are publicly accessible — all three in operation, one of them still without a payment provider. You can look at them under Our platforms, including what is not yet running there.
Who is behind AXR-Systems?
AXR-Systems is a service of Dienstleistungen24, owner Jim Eichholz, based in Berlin. All provider details are set out in the legal notice.
You work directly with the people who do the implementation. There is no sales team promising something that implementation has to catch up with later.
Who is this suitable for?
For sole traders, small teams and mid-sized businesses where the same manual steps come round every week: logging enquiries, writing quotes, coordinating appointments, preparing invoices, moving data from one system into the next.
In our experience the threshold is around two hours a week for the same task. Below that, a tidied-up template is usually the better answer; above it, an automation normally pays for itself within the first year. What do you explicitly not do?
We do not provide legal advice, tax advice or medical assessment, we do not build bespoke software in the six-figure range and we do not bid for public tenders.
Where a data protection impact assessment or a solicitor’s advice is needed, we say so and we do not bill for it. For very large projects and corporate group structures we are not the right partner — and we say that in the initial consultation too.
Do you also work outside Berlin?
Yes. The work runs mostly by video call and screen sharing, which works across the entire German-speaking region. On-site meetings in Berlin and the surrounding area are possible; longer journeys are agreed in advance.
What language do we work in?
German and English. Documentation, handover and training are delivered in the language your team works in.

What services does AXR-Systems offer?
Five: automating workflows, selecting and introducing AI tools, being found on Google and in AI answers, marketing that fits the business, and operating and supporting the running solution.

What is an “automated workflow” in concrete terms?
A chain of steps that someone does by hand today and that afterwards runs without intervention: an enquiry comes in by form or email, is checked, created in the system, assigned to the person responsible, and the sender receives a confirmation.
Such a workflow typically covers three to ten steps and one to four programs involved. With us it costs €900 to €5,000 as a one-off, depending on the number of systems, how clean the data is and how many special cases there are.
What happens in an AI workshop?
A half-day or full-day session in which your team learns, on its own tasks, where AI tools hold up and where they do not — including the rules on which data may go in and which may not.
One session costs €890 to €3,500 excluding VAT, depending on length and number of participants. Preparation and a written guide for afterwards are included.
What does “being found in AI answers” mean?
More and more people no longer put their question to Google but to an AI assistant — and get an answer instead of a list of results. For your company to appear there at all, your content has to be machine-readable: structured data, clear question-and-answer blocks, unambiguous details on services, locations and prices.

Can I combine several services?
Yes, and in most cases it makes sense — but one after another, not at the same time. We start with the area that noticeably takes the load off fastest, and only add the next one once the first is established in daily use.
Can I get advice only, without implementation?
Yes. The preliminary analysis costs €390 excluding VAT and is credited in full if it leads to an assignment. It gives you a written assessment of which workflows are worth doing, which are not, and in what order.
Costs, quotes and billing
What does working with you cost?
A single automated workflow costs €900 to €5,000 as a one-off, a package of several workflows €3,500 to €18,000. Ongoing SEO support costs €390 to €1,290 a month, ongoing marketing €390 to €1,490 a month, technical support for a finished solution €49, €149 or €390 a month. All figures exclude VAT.

Why do you state prices at all when others do not?
Because “individually, based on effort” is worthless to you. You want to know whether you are looking in the right order of magnitude before you book a meeting — and we do not want to hold conversations that fail on budget.
For context: the median of the published prices we found in August 2026 for a single automated workflow is €3,745. Our entry point is below that, and we also state an upper limit.
Are these fixed prices?
The ranges are not — your quote is. After the initial consultation and, if needed, the preliminary analysis, you get a fixed price with a clearly described scope. Anything not in it is not billed silently.
What pushes the price up?
Six things: whether your programs have interfaces, how well maintained your data is, how many special cases the workflow has to handle, each additional program involved, whether personal data is in play, and whether there are approvals and roles.
So if you are comparing several quotes, do not compare the prices but the answers to these six questions.
What is not included in the price?
Licence and running costs of the tools used, licences for your own software, changes a third-party provider has to make to their system, and legal reviews.
We pass tool costs through unchanged, with no mark-up. For small set-ups they are typically €20 to €100 a month. If a project can do without a subscription, we say so.
When and how do I pay?
For projects up to €2,000, after acceptance; above that in two parts: on placing the order and after acceptance. Support packages are billed monthly.
Can I cancel the support?
Yes, monthly. The solution keeps running afterwards — all accounts are in your name, the documentation is with you. You lose the monitoring and the included hours for adjustments, not the solution.
Is there public funding for projects like this?
For digitalisation and consulting projects there are funding programmes in Germany at federal and state level; which of them apply in your case depends on the federal state, the size of the company and the timing. We are not funding consultants and we do not plan around an approval.
If you want to use a programme, we supply the quote in the form the application requires. Checking whether you are eligible belongs with your tax adviser or funding adviser.
Does this pay off for a one-person business too?
Often yes, because there the time saved feeds straight back into your own working hours. In our experience the threshold is around two hours a week for the same task.
An example against automating: a task that comes up twice a month and takes ten minutes each time costs four hours a year. Valued at €45 that is €180 — against a €1,500 set-up it never pays for itself.
Process, timing and effort
How does a project run?
In five steps: analysis and stocktake, strategy and roadmap, implementation in small steps, rollout and training, then optionally operation and optimisation. Each step ends with a result you can look at and sign off.

How do I get started?
With a free initial consultation of around 30 minutes. In it we work out which workflow is worth doing first at your company, roughly what it will cost and whether we are the right partner at all.

How long does implementation take?
A single workflow typically takes two to four weeks from order to acceptance. Most of that goes on coordination and testing, not on building.
Several workflows are planned in stages, so that the first relief does not have to wait for the end of the project.
How quickly can we start?
An initial consultation is usually possible within a few days. When implementation starts depends on current workload — we state that in the meeting rather than promising a date we cannot keep.
How much effort does this take on our side?
Allow two to four hours of your time per workflow, spread over the initial consultation, one review of the draft and the acceptance. Whoever does the task today should be in the room — otherwise you miss exactly the special cases that cause trouble later.
Do we have to implement everything at once?
No, and we advise against it. One workflow that is established and working in daily use is worth more than five half-finished ones.
What happens at acceptance?
You are shown the solution running live, test it against your own cases and report what is not yet right. Only then does it count as accepted — and only then does the period for free fault fixing start.
Do I get documentation?
Yes. Every solution comes with a written handover: what the workflow does, which accounts it uses, what to do if it stops, and who to contact at which provider if in doubt.
AI, data and data protection
What do you build the AI with?
With established AI models from various providers, including Claude from Anthropic. We choose the model that fits the task, the language and the data protection requirement, independently of any vendor — not the one that would pay a partner commission.
Is the use of AI GDPR-compliant?
It can be, and it will not be by itself. Four things matter: which data goes in at all, where it is processed, whether a data processing agreement (Art. 28 GDPR) is in place, and whether the processing is listed in your record of processing activities.
We set up the processing along these four points and document it. We are not a law firm: the legal assessment of your individual case remains with you or your legal advisers. The GDPR check shows where you stand today in about three minutes.
Is our data used for training?
Not if the choice is ours. We use services and plans in which processing for training purposes is contractually excluded, and we actively set the corresponding options.
With free consumer plans this is often different — that is one of the reasons why private use of AI tools inside a business is a risk, and why it is explicitly covered in the workshop.
Where is the data processed?
As far as possible within the European Union. Where a service processes outside the EU, we name it in advance with provider, location and legal basis, so that you can decide — instead of finding it in a list afterwards.

What about the EU AI Act?
The AI Act grades requirements by risk. The applications we build — preparing texts, sorting data, routing enquiries — typically do not fall into the high-risk category, but they do fall under general obligations such as transparency towards the people affected and competence of the users.
We therefore label AI-generated output as such and train the people who work with it. The binding classification of your specific use is a legal question and belongs with your legal advisers.
What happens if the AI makes something up?
We do not build workflows in which AI output goes out unchecked where a mistake could cause damage. For anything involving customers, authorities or money, there is an approval step in front of it.
Language models give wrong answers with the same confidence as right ones. Anyone who does not plan for that is building a risk instead of relief.
Do you see our data?
Only as far as implementation requires, and only for as long. Accounts we need for the build are handed back or revoked after handover — that is set out in the handover documentation.
Technology and tools
Do I need new software?
Usually not. We first connect what you already use. We only propose new software if a step could not be covered at all without it — and then we say what it costs per month.
What tools do you work with?
For workflows mostly n8n, depending on the case also Make or Zapier; for websites WordPress; for AI functions the interfaces of the model providers. The choice follows your case, not our habits.
For a sense of the running costs: n8n Cloud starts at €20 a month, Make at €9, Zapier at around US$20.
What happens if one of my programs has no interface?
Then we check three routes: an export-import route via files, a detour through a system that both sides know, or — as a last resort — operating the user interface by script. The last route is the most fragile, and we say so beforehand.
If none of the three routes holds up, we advise against automating that step rather than building something that stops three times a year.
Who owns the accounts after handover?
You do. Every account and every licence runs in your name and on your payment details. We do not build anything that only runs for as long as you stay with us.
Will I be dependent on you afterwards?
No, and it is deliberately built that way. The solution is handed over documented, the accounts belong to you, and the tools used are widely established on the market — another provider can take over.
Can we develop the solution further ourselves?
Yes. If that is the goal from the start, say so in the initial consultation: then we deliberately build more simply and train your team on the tools instead of squeezing out the last bit of optimisation.
Does this work with our existing website too?
As a rule yes. For the visibility work we need access to content and technical settings; if the system is very closed, we say beforehand what cannot be done with it.
Operation, faults and warranty
What happens if something jams after handover?
We fix faults in our solution free of charge for 30 days after acceptance. After that, either under a support package or on a time-and-materials basis.
What counts as a fault and what as a new requirement?
A fault is when the solution does not do what is described in the accepted scope. A new requirement is when it is meant to do something that is not described there. We draw that line in writing before acceptance, not in a dispute.
What happens if a vendor changes its interface?
That happens and it is not a fault in our solution. With a support package we notice it through the monitoring, often before you do, and adjust the solution; without support you get in touch and we bill on a time-and-materials basis.
Where this risk is particularly high, we say so with the quote — not afterwards.
What does support cost and what is included?
Three tiers: Basic at €49 a month with monitoring, fault reporting and fault fixing; Standard at €149 with an additional up to two hours of adjustments a month and priority response; Extended at €390 with up to six hours a month. All prices exclude VAT.
Do I have to take the support?
No. A workflow that is rarely changed and sits in a non-critical place can run without support. Without monitoring, though, you are the first to notice that something has stopped — and by then someone else has usually noticed too.
How quickly do you respond to an incident?
We respond on working days; with priority in the Standard and Extended packages. We only commit to a fixed response time in hours where it is in the contract — a figure on an FAQ page is not a commitment.
We do not offer round-the-clock on-call cover. Anyone who needs it is better served by a larger provider, and we say so in the initial consultation.
Visibility on Google and in AI answers
How long does it take for SEO to work?
Technical faults take effect within a few weeks; content work needs three to six months before it shows up in rankings. Anyone promising you results in four weeks is selling you something else.
Do you guarantee position 1 on Google?
No, and nobody can do so credibly. We commit to what we implement, and show monthly what has changed in visibility, rankings and enquiries — not what Google is going to do.
What is the difference between SEO and visibility in AI answers?
SEO aims at a list of results in which your page gets clicked. Visibility in AI answers aims at an assistant taking your information into its answer and naming you as the source — there is no second page there to fall back on.
Technically the two overlap heavily: clean structure, unambiguous information, structured data. The free visibility check lists what is missing on your site.
Do you also write the content?
Yes, as part of ongoing support. A text only becomes factually correct, though, if someone from your company reads it over once — we build that step firmly into the plan.
When it is not worth it
What if AI makes no sense at all for my situation?
Then we say so. Often a tidied-up template, a changed order of steps in the workflow or a conventional automation without AI is the better and cheaper answer.
Turning the work down costs us the assignment and is still the part of our work where you are most likely to see whether we mean it.
When do you advise against automating?
When the task happens rarely, when it has no clear rules, or when it is currently changing. Automating a process that will look different in three months means paying for it twice.
What about very small budgets?
If your budget is well below our entry point, we say so in the initial consultation and we both save the meeting. You are still welcome to use the free checks and this FAQ — that is what they are for.
Evidence and trust
Why are there no customer testimonials here?
Because we do not invent any. Instead of quotes we point to three platforms we built ourselves and that anyone can open: Saldy, Dienstleistungen24 and Zeitflex. Our platforms also states what is still missing there — Saldy earns no money to this day because it runs no payment provider.
Why do you not name the providers you compared?
Because prices change. A comparison by name would only be fair if we checked it continuously and tracked every change. The figures themselves are taken unchanged from the providers’ public pages.
What happens to the information I enter in the free checks?
With the AI check, the ROI calculator and the GDPR check, nothing at all: these three calculate entirely in your browser, not a single answer is sent to us. The visibility check has to fetch the address you give in order to test it — for that the address is transmitted to our server and tested there, but the result is not stored against you.
None of the four asks for an email address. What exactly happens with which tool is set out in the privacy policy.
What happens after the initial consultation?
You get our assessment in writing: which step is worth doing first, roughly what it will cost — and if we advise against it, why. If you do not get back to us afterwards, we do not chase you.
